Christiana Care is looking for a full-time Executive Assistantto provide executive level administrative support to the Information Technology Vice Presidents/Chiefs to maximize their effectiveness and efficiency. Additionally provides administrative support for teams across IT including project support and complex calendar management and the administrative coordination for teams across IT.
Position requires an independent thinker and leader who can function effectively in a rapidly growing and changing environment.
Works as a team member with other staff to provide effective coverage for all IT vice presidents and leaders within the department.

Performs other related duties as required. Researches, prioritizes and follows up on incoming issues; determines appropriate course of action, referral or response. Performs high volume, highly complex calendar management, scheduling of meetings and reconciling conflicts all within a timely fashion.
Anticipates executive's needs and provides assistance to ensure executive is prepared for daily activities. Assures planning and coordination of executive's complex calendar of events.
Provide administrative support for major project rollouts, educational events, meetings, and project activities, either virtual or on site as required.
Provides additional administrative support to leader, including attending and taking minutes at meetings, preparing agenda, typing, and drafting correspondence, preparing PowerPoint Presentations and Excel Spreadsheets and scheduling meeting rooms for meetings/events.
Prepares travel arrangements including flight, ground transportation, accommodations, conference registration and compiles reimbursement documentation, completing expense reports appropriately in the Workday system as appropriate.
Collect and analyze project information and produce meaningful management reports as necessary utilizing Microsoft tools such as Teams, Notebook, etc.
Keeps notes at project meetings; annotating, finalizing and managing multiple sets of notes as required.
Provides a link for smooth communication between the executive office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff.
Maintains office supply inventory, ordering as neededKnowledge, Skill, and Ability Requirements:
High emotional intelligence
Excellent people skills, Excellent diplomatic skills and ability to be discreet; excellent judgment
Intermediate to advanced skills In Microsoft Office software packages including Word, Excel, Outlook, Teams and PowerPoint required. Visio, OneNote, SharePoint, Planner and Access knowledge highly beneficial.
Basic project management knowledge preferred
Knowledge of IT terms preferred
Ability to manage complete projects adhering to deadlines under limited supervision.
Ability to take a proactive approach to problems.
Ability to confront and ask probing questions to understand needs.
Ability to anticipate problems and identify long term implications of decisions and actions.
Understands budgetary control and resource allocation procedures.
