CONTEXT OF THE JOB:

Under the general direction of the Senior Assistant Dean in the College of Education and Human Development (CEHD), the Academic Program Manager serves as the administrator of the Advisement Center for Human Development and Family Sciences and performs duties within the CEHD Student Support Services unit. The Academic Program Manager provides guidance and consultation to students on academic matters such as educational and career planning (curriculum options, degree requirements, registration), and academic policies and procedures. The Academic Program Manager is responsible for identifying academic support resources and fostering student academic, career and personal growth and overseeing the services that the HDFS advisement center provides to all HDFS students, including students in the HDFS and Medical Social Services minors. The Academic Program Manager has other responsibilities including supervision of academic advisors, coordination of academic initiatives, involvement with college recruitment and yield activities, coordination of New Student Orientation and other college wide events and programs.

MAJOR RESPONSIBILITIES:

+ Oversee and manage the undergraduate advisement center which is responsible for providing undergraduate advisement to the Human Development and Family Sciences department .

+ Supervise, train and evaluate an assigned team of graduate, part-time, and /or professional advisors.

+ Provide advisement services to all undergraduates including current majors, those on probation, in dismissal status and prospective students considering transfer to the human services major, human relations administration major or one of the department minors. Interpret policies, explain GPA and academic standing, review transfer credits and transcripts, and provide general guidance on academic and personal matters. Manage advisement and registration for students in the Over 60 program, World Scholars and Delaware in DC programs, international students and assist with their transition to Newark Campus.

+ Manage the Human Relations Administration major, initiating and overseeing all curriculum changes, ensuring seat availability and course offerings in HDFS and other UD academic units, manage program advisory board and establish relationships with other constituents.

+ Department point person for the Medical Social Services minor, initiating curriculum changes and advising.

+ Utilize Blue Hen Success Collaborative platform to evaluate curriculum data and generate reports that provide statistical information for educational planning and curriculum changes. Process related forms for course and program approval and submit changes through Curriculog and Acalog systems.

+ Assist with undergraduate course scheduling and recommend course offerings based on anticipated demand. Manage enrollment for ECE Block courses, restricted courses, and waitlists.

+ Coordinate junior and senior review process and assist with the degree clearance process, communicating any graduation concerns to students.

+ Review student teaching eligibility requirements and communicate eligibility status and requirements to students; and work with Clinical Studies to confirm receipt of required clearances for all HDFS field placement courses.

+ Assist in the development and implementation of programs for specific student populations which support recruitment, yield, and retention efforts of the College undergraduate programs.

+ Provide ongoing training and development to faculty, professional and graduate student advisors including interpreting academic policies and curriculum, and understanding campus resources for referrals and use of BHSC system. Develop and maintain advisement manuals; identify and update course catalog and website to ensure accurate information is distributed and presented.

+ Responsible for processing the appropriate forms and ensuring accurate academic record maintenance for undergraduate files including the completion of Transfer Credit Evaluation forms, major/minor applications, course substitutions, and restricted electives. Manage catalog review/edits of department and college curriculum pages and four-year academic plans . Adhere to Family Educational Rights and Privacy Act (FERPA) regulations.

+ Assign academic advisors to students in the majors and minors and communicate advisor changes to faculty advisors.

+ Update the HDFS website using WordPress including academic program pages, advisement pages and prospective student pages.

+ Serve as the point person for master’s program partners such as TJU and Bryn Mawr College and arrange site visits and info sessions for prospective students. Assist with undergraduate transfer agreements such as Brookdale Community College.

+ Develop and oversee New Student Orientation programming, including preliminary review of transfer credits, presentations to new students and their families (coordinate prospective student visits), and managing orientation advisement, course registration/selection

+ Assist with other student recruitment events, convocation and commencement.

+ Assist the Senior Assistant Dean in the short- and long-term strategic planning processes for CEHD student support services.

+ In collaboration with the Senior Assistant Dean, analyze and evaluate academic advising functions, policies/procedures, and identify student learning outcomes and processes to improve recruitment, retention and student success.

+ Maintain regular contact, in support of students, with UD counterparts including undergraduate coordinator, academic advisors, assistant deans, staff in the Registrar’s office

+ Perform other job-related duties as assigned.

QUALIFICATIONS:

+ Bachelor’s degree, Master’s degree preferred, in student personnel, college counseling or a related field and four years of progressively responsible experience in student counseling, development, teaching and advisement experience in university environment, or an equivalent combination of education and experience.

+ Excellent written and verbal skills, and attention to detail.

+ Ability to work independently, handle multiple tasks simultaneously and to work with deadlines.

+ Ability to provide technical leadership and project management; advanced knowledge and understanding of student academic advisement, development, and retention issues, trends, and programs.

+ Computer proficiency including knowledge regarding design software, web design or social media strongly preferred. Ability to use advanced techniques in word processing, spreadsheet, database and presentation software. Proficiency with PeopleSoft Student Administration preferred.

+ Ability to exercise sound judgement, interpret policy, evaluate student transcripts and maintain confidentiality.

+ Must be self-motivated; able to perform tasks on own initiative many of which have no prior precedent.

+ Ability to communicate effectively and interact well with people of all ages and diverse backgrounds.

+ Experience with undergraduate programs; specific knowledge of UD programs is preferred.

+ Supervisory experience preferred.
