Key responsibilities and tasks of the role:

• Assist the CEO and management team with office duties and be the main point of contact in reception areas

• Provide administrative support, including schedule appointments, meetings, events, and maintain company database

• Proactively identify office and facility operation issues and anticipate needs

• Answer phone and direct calls, answer door, greet guests/vendors, and sign for packages

• Sort and distribute mail for all staff, log vendor purchase invoices and customer check payments

• Coordinate multiple operation functions such as IT, HR, sales/marketing, shipping/receiving, manufacturing, contract organizations, if needed

• Organize annual fire drill, and ensure security and emergency preparedness are implemented properly

• Ensure that facility is clean, safe, and maintained according to company policy and procedures

• Manage and review facility service contracts conducts and document regular facility inspections

• Communicate workplace safety precautions and assist safety officer/COO in managing company safety programs

• Partner with HR to maintain office polices as necessary, support Human Resources-related tasks (e.g., training files, new hire orientation, benefits paperwork, etc.), if necessary

• Coordinate company meetings and social activities with guidance from management; record meeting minutes and distribute/file as appropriate

• Create and distribute Work Orders and follow through to fulfillment as needed

• Research points of contact for magazines and trade journals to upload PR pieces and new product/marketing information

• Monitor various email accounts and answer/respond or forward as appropriate

• Handle confidential and non-routine information

• Complete daily timesheet accurately and submit as required

Necessary Skills and Strengths:

Office Management | Administrative Support | Microsoft Suite

• Excellent interpersonal skills and time-management skills, flexibility, and multitasking ability

• Organized and detail-oriented

• Competent in using Microsoft Office Suite

• Ability to oversee maintenance and operation of photocopiers, printers, faxes, shredders, and phone system

• Excellent verbal and written communication skills

• Ability to work independently

8-6 pm Monday – Friday on site in Newark, DE

Flexible shift ( 8 hr shift / 30 minute lunch)

12 month contract to hire Growth potential – This will turn into a permanent role
