Job Description

Areas of responsibility include:

Under general supervision and according to established policies and procedures, provides support to the firm’s attorneys and their clients.  Significant contact with attorneys (both internal and external), support staff, clients and vendors.  Observe confidentiality of client and firm matters. This position is responsible for the accurate completion and management of work assigned by multiple attorneys including real estate/land use/zoning secretarial work.  Responsibilities include opening of new clients and matters, word processing (document production, redlining, table of contents, etc.); general filing, time entry, answering telephones, faxing, scanning, scheduling meetings and conference rooms, making travel arrangements, submitting expense reports, calendar maintenance, assistance with client development and handling daily mail.  Also responsible for maintaining various lists, including Interaction database and various marketing maintained therein, Elite client/matter numbers and other Outlook lists as desired by attorneys.  Must work as a team player to assist with overflow work as needed.

Essential Functions

  • Reviews, sorts and distributes mail; reviews and calendar due dates from documents, letters and other mail received.  
  • Drafts and types various types of documents, including correspondence, agreements and memoranda and other such documents specific to the real estate practice area; proofreads documents for errors and corrects errors.  
  • Prepare red-line of documents.
  • Schedules/calendars appointments such as closings, client meetings, hearing dates; coordinate travel arrangements as necessary.
  • Schedules messengers and other vendors for pick-up of documents for errands such as filings and recordings, delivery of documents to counsel and other types of errands.
  • Input attorney time and review attorney timesheets for accuracy and to correct errors.
  • Review client billing for accuracy; edits content/grammar.
  • Perform administrative functions such as prepares check requests for vendor statements and other administrative tasks.
  • Organize and schedule small and large meetings in person and/or via conference calls which may include arranging for conference oms and meals.
  • Maintain Outlook Calendars and Contacts lists, including lists in Interaction.

Experience:

At least 4 years recent experience as legal secretary in order to be familiar with law firm procedures and administrative duties in a professional services setting and currently from a remote and combination of in person and remote environment.  Note that remote work environment will change and will become an in office position. Commercial real estate/land use/zoning experience preferred.  

Must have exceptional skills with Excel, Power Point and Word. Familiarity with local and federal courts and prior trial experience would also be a plus.  Previous experience with Elite, billing, engagement letters and conflicts checks preferred.  Accuracy more important than speed, but typing at least 60 wpm.  Must be able to multi-task, anticipate needs, be a self starter and integrate to become part of the team.  Ability to interact with clients and manage attorneys’ workload a must.  

Excellent time management, critical thinking, ability to problem solve required.

35 hour set work week schedule.  Hours of 9:00 am to 5:00 pm or 9:30 am to 5:30 pm. Must be flexible as needed for OT.
