Job Description


Provide administrative support to the department of anesthesia. This role is responsible for all aspects of the daily operation for the Department of Anesthesia. This includes scheduling, clerical duties, supply and file maintenance, as well as verbal and written communication.


The ideal candidate will be well organized, detail oriented and have the ability to multitask. This candidate must be able to complete tasks and duties within a prescribed timeline. Strong computer skills as well as good verbal and written communication skills are a must.



Completes daily Operating Room staffing schedules for the Anesthesiologists and nurse anesthetists.

Complete data entry, photocopying, laminating, filing and scanning on a daily basis.

Answers phones and responds promptly to patients' inquiries; takes accurate messages and relays to appropriate anesthesia team member as necessary.

Utilizes resource scheduler to reserve conference rooms

Utilizes outlook to schedule meetings

Orders supplies as needed

Coordinates with the Chief CRNA/Assistant Chief to create and communicate weekly in-service information to all sites

Coordinates with Academic Affairs for medical students and residents coming into the department for rotations

Data entry, including but not limited to entering credits in the AANA systems for nurse anesthetists

Collaborates with the anesthesia team to identify opportunities for efficiencies and process improvement

Contacts IT, facilities, and other departments when equipment needs to be repaired

Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.

Performs other related duties as required.



Daily contact with anesthesiologists, nurse anesthetists, administrative team members

Regular contact with external customer, perioperative service teams, surgical service line leadership, as well as administrative teams from other service lines.



Associates Degree in secretarial science or business preferred

2 years clerical or related experience

An equivalent combination of education and experience may be substituted



Proficient Microsoft Office Suite skills - Word, Outlook, Excel; PowerPoint a plus

Creative problem skills, ability to overcome obstacles

Ability to work under pressure, handling multiple requests often with tight deadlines

Knowledge of medical terminology

Good verbal and written communication skills



Occasional lifting/carrying (10 pounds or less); prolonged sitting, with prolonged work on a computer/PC



Job performed in a well-lighted, modern office setting; occasional overtime as needed.
