Operations Coordinator with ChristianaCare

 

PRIMARY FUNCTION:

Provide overall coordination of scheduling operations for the Christiana Care Hospitalist Partners practice at all locations. Plays a lead role with collecting, analyzing, and interpreting data, and assists with team projects that streamline current and new processes for the department.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Construction and oversight of physician, advanced practice provider, Consulting Internist and Medicine/Pediatrics on call schedules for all locations (this includes all services at Christiana Hospital, Wilmington Hospital and two CCHP discharge clinics).

Responsible for updating any changes on the schedule through scheduling software.

Responsible for updating any changes made on the schedule through the paging/text system Vocera.

Responsible for daily distribution of patient lists at both Christiana Hospital/Wilmington Hospital for all providers/services. This includes reconciling esignout/Powerchart lists for all services, moving patients from lists in both esignout/Powerchart that have been discharged or transferred, and sending out the updated lists to all Nurse Managers by 7:30am each morning.

Administrative lead/support for all projects/committees related to scheduling/service structure change.

Interviews and assesses prospective non-clinical staff candidates.

Plays a lead role with the onboarding process and orientation for our new physicians/advanced practice providers.

Generates and reviews all data related to CCHP through Soarian, UHC, etc.with Practice Managers, Administrative Director and Medical Director.

Plays a lead role with data management, analysis, interpretation and reporting related to CCHP.

Data entry and report generation using Microsoft Excel and Access databases.

Captures and manipulates data in MS Excel, Word, Access, and Powerpoint and create customized reports.

Analyzes and organizes data related to projects and pilots for CCHP (i.e. Patient Satisfaction project on 5D, flow initiatives, etc.)

Responsible for collecting all data related to studies/projects that are not electronic.

Develops, implements and monitors projects designed to improve group efficiency, communication, provider satisfaction, patient satisfaction and/or financial success.

Assist with all data related tasks for projects.

Assists in the development, implementation, and monitoring of group QI/PI projects.

Basic data support to help analyze and frame opportunities and improvement.

Pager triage as needed/backup

Maintain CCHP SharePoint site and update documents as needed.

Facilitates meetings and manages projects across the system as needed.

Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.

Performs other related duties as required.

Frequent contact with Christiana Care staff, patients, community providers and general public

DIRECTION/SUPERVISION RECEIVED:

CCHP Administrative Director

 

EDUCATION AND EXPERIENCE REQUIREMENTS:

High school graduate or equivalent (bachelor's degree preferred)

Five years of work experience in administrative or coordinator positions showing job duties of increased responsibility and/or complexity

Minimum of two years' work experience in healthcare, preferably in an acute care setting

 

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

Ability to maintaining confidentiality

Knowledge of proper telephone etiquette

Knowledge of hospital standards, policies and procedures

Excellent verbal and written communication skills

Ability to plan, organize and complete various tasks simultaneously

Ability to manipulate data in MS Excel, Word, Access, and Powerpoint.

Demonstrated ability to learn quickly

Ability to effectively interact with customers and handle customer concerns

Ability to manage stress and stay calm under pressure

Respect for patient privacy and confidentiality
