Job Description

ChristianaCare, Cardiology Consultants practice is looking for a Senior Office Assistant.

As the Senior Office Assistant, you will collaborate with patients and cardiology clinicians to ensure a seamless delivery of cardiac procedural services by facilitating the pre-procedural coordination needs and the referral & pre-authorization process for all cardiac procedures. You will promote physician and patient satisfaction by minimizing their involvement with 3rd party insurance providers for pre-authorizations.

Work Schedule:
This is a full-time Monday to Friday position (8:30am to 5pm)
No weekends, no holidays. This position offers a great work life balance.

Job duties & responsibilities:
Coordinates and communicates with patient, the procedure scheduling details, pre-procedure testing needs, i.e., labs, echo, and pre-procedure instructions.
Obtain pre-procedural testing results and associated documents
Obtains referrals and/or pre-authorizations (as needed determined by payer plans) in collaboration with the practice clinicians for cardiac procedures, i.e., catheterizations, pacemaker implants/explants, cardiac ablations, cardioversions, TAVR, LAAO, Mitral Clip.
Manages the pre-procedure insurance denials and collaborates with the ordering providers for peer-to-peer or appeal needs.
Coordinates and communicates with HV scheduling for SurgiNet procedure posting & procedure order management.
Collaborates with practice nursing for any pre-procedure testing order needs.
Performs daily operational duties such as insurance verification/pre-authorization, utilizing Powerchart, Soarian, Revenue Cycle and insurance web-site systems.
Maintains a solid working knowledge of insurance and billing requirements for cardiac procedure to maximize reimbursement of claims and to minimize financial risks.
Maintain HIPAA compliance.
Performs assigned work safely, adhering to established departmental safety rules and practices. Reports to the appropriate personnel, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
Interacts with physicians, practice staff, various Christiana Care departments, patients, and patients' family members in a courteous and professional manner.
Superior performance in customer service and phone skills with the ability to handle difficult patient satisfaction issues and provide service recovery.
Demonstrates Christiana Care values and behaviors.
Demonstrates compliance with Christiana Care and departmental policies and procedures and mandatory education requirements including but not limited to safety, infection prevention, attendance, and dress code.

Education Requirements:
High School Graduate or Equivalent
Two years' experience in a medical practice with insurance processing knowledge required.
