Job Description
  1. Principal Responsibilities:

The Executive/Development Administrative Assistant is responsible for providing support to senior level staff, particularly the Chief Executive Officer, as well as performing a variety of administrative and office tasks.

Executive/Staff Support

  • Answer/screen calls
  • Manage calendars
  • Book travel and register for workshops/conferences
  • Submit maintenance requests
  • Support email communications

General Administrative Tasks

  • Oversee policy and procedure tracking, both electronically and printed
  • Post job openings
  • Maintain office phone list
  • Order business cards

General Office Tasks

  • Manage vendor relationships for office supplies
  • Oversee office supply orders for main office and departments as needed
  • Stock supplies for mail room and first aid kits
  • Organize mail room and closets
  • Maintain staff mailboxes
  • Serve as backup for answering general phone calls
  • Serve as backup for sorting mail and running postage
  • Post items for donation or sale as needed
  • Staff welcome desks as needed


  • Maintain annual donor database (Annual Campaign, major fundraising events, legacy giving, contributions to funds, general contributions)
  • Provide weekly reports on donations to senior level staff
  • Manage all donor correspondence, including updating templates and sending letters and cards

Meeting Support

  • Reserve rooms and submit set-up requests
  • Create calendar invites to meetings
  • Add meeting dates to community calendar
  • Send meeting reminder emails
  • Collect and distribute reports and pre-event materials for meetings
  • Take meeting minutes
  • Navigate web and teleconferencing for meetings
  • Manage logistics for major meetings including New Board Orientation and Annual Meeting


  • Degree and 2 years’ experience as an executive assistant or other relevant administration support experience
  • In-depth understanding of Microsoft Office suite, including Outlook, Word, Excel, and PowerPoint
  • Must be organized and able to manage and prioritize multiple tasks, meet deadlines and manage time
  • Professional level verbal and written communication skills
