Provide business, financial and administrative support and coordination to the Environmental Services (ES) department, primarily to the Director. Support business expansion and project coordination for internal and external environmental services including proposal development, tracking, billing and financial plans. Provide administrative support to the team as needed. Support the development, implementation and maintenance of ES department tools and processes. Produce professional quality materials and documents in a timely manner, maintaining company quality standards.

Your scope of responsibility as Administrative Manager includes the following primary functions:

  • Under the general direction of the Director, ES, support and provide coordination of all activities for business growth, service proposals, project tracking and management, and delivery of services. This will include assisting with proposal writing, tracking proposals, and scheduling client visits. Interface with NAES corporate groups such as Marketing, Legal, Engineering, Safety, Accounting, etc. as appropriate. Interface with customers and potential customers, representing NAES and the ES group. Assist with refining tools and services for expanded client base.
  • Provide timely assistance to Director, Environmental Services on day-to-day tasks and requests, as well as assigned roles and projects, including supporting Marketing and financial tasks.
  • In coordination with NAES Accounting, assist with financial and budgetary aspects of the ES service organization. Track costs against budgets for billing ES services and expenses to clients. Maintain budget for department services provided to plants.
  • Compile and enter information and data to create documents, forms, spreadsheets, tables and charts utilizing advanced program capabilities in Word, Excel, Power Point, SmartSheet or other software. Create professional final documents from drafts.
  • Provide support such as technical editing, producing materials, setting up and maintaining filing system, setting up meetings, preparing meeting minutes, coordinating schedules and assisting with ES remote office needs and issues. Support ES department personnel on specific projects, programs and tasks.
  • Assist with planning and conducting Environmental Conferences, webinars and environmental training sessions, such as planning and logistics, internal and external communications, tracking participant information, arranging for equipment and facilities, producing materials, and assisting as requested.
  • Maintain databases and tools to reflect changes in plants, personnel and requirements, and assist with tracking implementation.

We are seeking a candidate who has extensive administrative and accounting experience with a work history that demonstrates a pattern of accomplishments and advancement.

A degree in accounting or business administration is preferred.

Normal working hours are 8:00 a.m. to 5:00 p.m. Monday through Friday. Overtime may be required. Occasional travel to plant or client locations may be required.
